Actions & approvals

AI workflow automation, with your team in control.

Give your front desk the tools to act on a conversation. Choose what it can do automatically and what your team needs to review.

Plans from $98 per month · 7-day free trial

AI workflow automation lets your assistant take the next step in a conversation, such as booking a visit, creating a CRM record, or opening a support ticket. In InsertChat you connect apps like Google Calendar, Outlook, HubSpot, Zoho, Zendesk, Stripe, and Square, choose the actions the assistant may use, and decide which run automatically and which wait for approval.

Automate your first workflow

01

Pick one customer request

Start with a request you handle every day, such as booking a visit or logging a new lead in your CRM.

02

Connect the app and choose actions

Authorize the account, turn on only the actions that request needs, and set each one to run automatically or wait for approval.

03

Test it end to end

Play the customer in the app, then check the result in the connected app and in Today before turning it on for customers.

What can the assistant do in connected apps?

It can book, move, and cancel calendar appointments; create and update CRM contacts, deals, and notes; create and reply to Zendesk tickets; send Stripe payment links; and look up Square orders and bookings. Each integration page lists its actions, and you turn on only the ones you need.

Can I approve actions before they run?

Yes. Set each action to run automatically or wait for review in Today. Texts and emails the assistant proposes on its own wait for approval from an owner, admin, or manager. Follow-ups you switch on in Automations, such as an after-visit thank-you or one nudge when a customer still owes you an answer, send by themselves, and you can turn each one off.

Which apps can it connect to?

Google Calendar, Outlook, Calendly, Cal.com, HubSpot, Zoho CRM, Microsoft Dynamics 365, Zendesk, Stripe, Square, Gmail, and WhatsApp, each with the actions listed on its integration page. Connected apps are included on every paid plan.

Which actions can run without a person?

The ones you switch on. Offering times, booking, rescheduling, and canceling appointments, collecting contact details, and moving spam out of the inbox can run on their own. The assistant never completes an action outside the permissions and business rules you set; it asks a person instead.

Who gets notified when something happens?

Choose recipients by role or by person for new contacts, booked appointments, and conversations that need a person. Notifications go out immediately or as a daily summary at the time you pick.

Can developers connect their own systems?

Yes. Growth, Scale, and Enterprise include API keys with read or read-and-write access to your workspace. Scale and Enterprise add signed webhooks, with a delivery log and retries for failed deliveries.
