AI front desk and answering

What is a virtual receptionist?

A virtual receptionist is a receptionist who answers your business calls remotely instead of sitting at your front desk. Traditionally that means trained people at a service company working from scripts you approve. Today the term also covers AI receptionists, which answer with a synthetic voice and can handle every call at once, at any hour.

How a virtual receptionist works

With a human virtual receptionist service, you forward your line to the service, give them a script and an escalation list, and pay by the minute, the call, or a monthly bundle. A receptionist answers in your business name, takes messages, and often patches important calls through to you. Coverage, hold times, and the depth of answers depend on staffing and how well the script anticipates questions.

An AI virtual receptionist replaces the script with a knowledge base. Instead of reading a fixed answer, it answers the question the caller actually asked from your pages and documents, and every call is transcribed. The trade-off is judgment: people improvise better in unusual situations, while AI is consistent, never puts a caller on hold, and costs the same at 3 a.m. as at noon.

Illustrative example

Example: a solo attorney compares both

A solo family-law attorney misses calls while in court. A human virtual receptionist service could take messages during business hours, billed per minute. An AI receptionist could answer every intake call, explain consultation fees from her own documents, and collect the caller’s situation for review, then mark anything that sounds like legal advice for her to handle. This scenario is illustrative.

InsertChat as your virtual receptionist

InsertChat is an AI virtual receptionist: it answers calls and website chats from your own knowledge, keeps a transcript and summary of every call, and routes anything sensitive to your team through handoff rules you write. Topics such as legal advice or billing disputes can be listed as always needing a person.

It does not patch callers through to you mid-call. If you want people to answer first, its routing can ring your phone before the assistant picks up. Comparing human services? See how InsertChat stacks up against Ruby and Smith.ai, and the law firm setup.

Virtual receptionist: common questions

Plain answers for small businesses

It can be either. Traditional virtual receptionist services use remote staff. AI virtual receptionists use voice AI. Some services combine both, with AI answering first and people handling some calls.

The terms overlap. Answering services usually focus on taking messages, often after hours. Virtual receptionists usually act more like your own front desk: greeting callers by your business name, answering questions, and booking appointments.

Pricing varies by vendor, but human services generally charge per minute or per call because each call uses staff time. AI services usually charge a monthly plan plus usage. Compare with your real call volume and average call length.
