Business phone greeting generator: scripts for every call.

Pick your industry, tone, and situation. Get greetings you can read aloud, record on your phone system, or paste into an AI receptionist.

A good business phone greeting names your business in the first sentence, says whether you’re open, and tells the caller what to do next. This generator writes three versions for each situation from templates in your browser, plus an AI receptionist greeting that fits InsertChat’s 200-character greeting field.

How the greeting generator writes your scripts

Every script follows the same structure, so callers hear who you are and what happens next before they decide to hang up.

01

Your name first

Each greeting opens with your business name in the tone you pick: friendly, professional, or short and direct.

02

One next step

Callers get a single instruction: stay on the line, press a number, or leave a name, number, and reason for calling.

03

Hours and closures

After-hours and holiday versions name your hours or say when you’ll call back, so callers aren’t left guessing.

04

Urgent calls

Industries with urgent calls get an instruction for them, such as calling 911 for a medical emergency.

05

An AI greeting that fits

The AI version says it’s a virtual assistant, offers what it can do, and stays within 200 characters.

Worked example: after-hours greetings for Northstar Home Services

Northstar Home Services is a fictional business. These greetings use the plumbing, hvac, and home services templates, a friendly tone, and the hours Monday to Friday, 8 a.m. to 6 p.m.

After-hours messageHi, thanks for calling Northstar Home Services. We’re closed right now. Our hours are Monday to Friday, 8 a.m. to 6 p.m. Leave your name, number, and what you need, and we’ll call you back when we open. Thanks, and have a great day.
With urgent-call instructionsHi, thanks for calling Northstar Home Services. You’ve reached us after hours. If water is leaking or you have no heat, say so first so we can call you back sooner. Otherwise, leave your name, number, and what you need, and we’ll call you back during business hours.
Short versionHi, thanks for calling Northstar Home Services. We’re closed for the day. Leave a message and we’ll call you back when we open.
AI receptionist greetingHi, thanks for calling Northstar Home Services. We’re closed right now, and I’m the virtual assistant. I can answer questions, help you book a service visit, or take a message. How can I help?

The AI receptionist greeting is 192 characters, within InsertChat’s 200-character limit.

Where should each greeting go?

Use the main greeting when someone answers or as your phone menu, the after-hours and holiday versions on your voicemail or closed-hours routing, and the busy version as hold or overflow messaging. Record the holiday greeting a few days before you close, and switch back when you reopen.

Voicemail greeting or AI receptionist?

A voicemail greeting asks the caller to wait for a callback. An AI receptionist greets them in your words, answers from your business knowledge, and can book the appointment during the call. InsertChat can answer always, only after hours, or only when your team doesn’t pick up, so you choose which calls it takes.

Phone greeting questions

Inputs, results, and next steps

Your business name, a short welcome, and the next step. Add your hours when you’re closed, an emergency instruction if callers may need one, and a callback promise you can keep. Leave out long menus and marketing lines that make callers wait.

Say you’re closed, give your hours, and ask for a name, number, and reason for calling. If urgent calls need a person, say how to reach one. With an AI receptionist, after-hours callers can get answers and book a time instead of waiting for a callback.

As short as it can be while still telling callers what to do next. Two or three sentences usually cover it. InsertChat’s caller greeting field takes up to 200 characters, so the generator keeps the AI receptionist version within that limit.

We recommend it. Callers know what to expect and can ask for a person. The generated AI greeting introduces itself as a virtual assistant. Check the disclosure rules that apply where you operate.

Yes. Copy, edit, and record them on any phone system. The generator builds them from templates in your browser, with no signup and no AI usage to pay for.

In your workspace, open the phone channel’s caller experience, pick one of 10 voices, and paste the greeting. Place a test call to hear it before you send customer calls to the assistant.
