What is a no-show rate?

A no-show rate is the percentage of booked appointments where the customer neither arrives nor cancels in advance. It is calculated by dividing no-shows by total booked appointments for a period and multiplying by 100. No-shows leave empty slots that could have gone to other customers, so they directly cost appointment-based businesses revenue.

How to measure and reduce no-shows

Count only appointments that were still on the books at the start time; late cancellations are usually tracked separately. Break the rate down by booking channel, lead time, and appointment type, since appointments booked weeks ahead tend to be forgotten more often than next-day ones.

The common fixes target forgetting and friction: appointment reminders by text or email, an easy way to reschedule instead of skipping, and clear confirmation details at booking. Deposit and cancellation-fee policies help for longer appointments, but they need to be explained when the customer books.

Illustrative example

Example: a chiropractic clinic’s Monday gaps

A chiropractic clinic sees several empty Monday-morning slots each week from patients who booked the previous week and forgot. Adding a reminder 24 hours ahead with an easy way to move the visit turns many silent no-shows into reschedules, which the front desk can fill. This scenario is illustrative.

How InsertChat helps reduce no-shows

Appointments InsertChat’s assistant books can get a reminder by text or email 72 hours and 24 hours before. If the time no longer works, the customer can reply or call, and the assistant moves the appointment to another open time on your calendar.

Booking rules, such as minimum notice of up to 48 hours, buffers, and how far ahead customers can book, keep slots realistic, and teammates can be notified of every new booking. See AI scheduling and the chiropractic setup.
