# Missed Call Calculator: What Missed Calls Cost

Source: https://insertchat.com/tools/missed-call-calculator

> Free missed call calculator: enter weekly calls, missed-call rate, booking share, close rate, and job value to see the revenue at risk each month and year.

The cost of missed calls is the revenue from callers who wanted to buy and never reached you. Multiply weekly calls by your missed-call rate, the share of those callers ready to book, your close rate, and your average job value. With the example inputs below, $3,250 a month is at risk.

[Open the interactive missed call calculator](https://insertchat.com/tools/missed-call-calculator#calculator). It runs in the browser, and every starting value is an editable assumption.

## How the missed call calculator works

The calculator follows a missed call from your phone log to your revenue in four steps. No industry averages are built in: every input is an assumption you control, so the result reflects your business.

1. **Missed calls.** Weekly calls × your missed-call rate. Take both from your phone provider’s call log for a normal week, counting calls that rang out or went to voicemail.
2. **Callers ready to book.** Missed calls × the share who wanted to book or buy. Leave out spam, sales pitches, and vendors, and lower the share if many callers try again later.
3. **Jobs you would have won.** Callers ready to book × your close rate: the share of answered new-customer calls that turn into paid work.
4. **Revenue at risk.** Lost jobs × your average job value. Monthly figures use 52 weeks ÷ 12 months; yearly figures use 52 weeks.

- The result is revenue, not profit. Multiply it by your gross margin to estimate lost profit.
- Repeat visits, referrals, and reviews from a new customer aren’t counted, so the estimate can understate a customer’s full value.

## Worked example: a home service business

These inputs are illustrative assumptions, not benchmarks. They’re the calculator’s starting values, so you can follow each step and then replace them with your own.

| Step | Result |
| --- | --- |
| Calls a week | 50 |
| Missed (20%) | 10 calls a week |
| Ready to book (50%) | 5 callers a week |
| Won at a 50% close rate | 2.5 jobs a week |
| Revenue at $300 a job | $750 a week |
| Revenue at risk each month | $3,250 |
| Revenue at risk each year | $39,000 |

That’s about 10.8 jobs a month from 43.3 missed calls. Compare it with InsertChat Pro at $98 a month.

## How do you stop losing revenue to missed calls?

Make sure every call reaches someone who can help, even when your team can’t pick up. Route after-hours and unanswered calls to an AI receptionist that answers questions and books appointments, send urgent calls to your team, and rerun this calculator a month later with your new missed-call rate.

## Which calls should you count?

Count inbound calls from people who might buy: new customers, booking requests, and questions about your services. Leave out spam, sales pitches, and vendors. Existing customers calling about a booking matter too, but this calculator values new work only, which keeps the result conservative.

## How do I find my missed-call rate?

Open your phone provider’s call log or call reports and divide missed or unanswered inbound calls by total inbound calls for the same week. Count calls that rang out or reached voicemail. If your provider doesn’t report it, tally a typical week by hand.

## Should I count voicemails as missed calls?

Yes. A voicemail is still a call nobody answered. If you return voicemails quickly and still win most of those jobs, lower the share of callers ready to book so the result matches what you see.

## What close rate should I use?

Use the share of answered new-customer calls that turn into paid work, from your CRM or booking records. If you don’t track it, count last month’s new-customer calls and the jobs they produced. The calculator’s 50% is an example, not a benchmark.

## Is revenue at risk the same as lost profit?

No. It’s the revenue those jobs would have brought in. To estimate lost profit, multiply the result by your gross margin. The calculator also leaves out repeat visits and referrals, so it can understate what a new customer is worth.

## How does an AI receptionist recover missed calls?

It answers the calls your team can’t take, after hours or when the line is busy. InsertChat answers from your business knowledge, books appointments into your calendar, takes details for a callback, and alerts your team to urgent calls, with every conversation in one inbox.

## How much does InsertChat cost compared with the revenue at risk?

InsertChat Pro is $98 a month with 5,000 AI credits shared by calls and written conversations. Calls round up to whole minutes. Compare that with your monthly result, or use the receptionist cost calculator to estimate the credits your calls need.
