# What Is a Live Call Transfer? Warm vs Cold

Source: https://insertchat.com/glossary/live-call-transfer

> A live call transfer moves a caller to another person without hanging up. Learn warm vs cold transfers, when they help, and what to do when none is available.

A live call transfer moves an active call from whoever answered it, a receptionist, an agent, or an AI, to another person while the caller stays on the line. In a warm transfer the first person introduces the caller before handing over; in a cold transfer it passes directly. Either way, the caller doesn’t have to call again.

## How live call transfers work

The phone system bridges the caller to a new destination, such as an extension, a mobile number, or a queue. A warm transfer briefly puts the caller on hold while the first person explains the situation to the next. A cold, or blind, transfer sends the call straight through, which is faster but makes the caller repeat themselves.

Transfers only help when someone is available to take them. If the destination doesn’t answer, the caller lands in voicemail or loops back, which is worse than a clear promise of a callback. That’s why many businesses pair transfers with a fallback: collect the details and have the right person call back with context.

## Example: a locked-out caller who wants the tech

A caller locked out of her house asks to speak to the locksmith who is on the road. The assistant explains it can’t put her through, takes her address and callback number, confirms the lockout fee from the price list, marks the request urgent, and tells her the technician will call within the time the owner set. This scenario is illustrative.

## Transfers and InsertChat

InsertChat does not transfer callers to a person during a call. Instead, your phone can ring first: with “AI when unanswered,” calls ring your number for 5 to 60 seconds before the [AI receptionist](https://insertchat.com/product/phone) answers. When a caller needs a person, the assistant takes the details, marks the conversation needs-you, emails your team, and tells the caller your team will follow up.

On website chat, a teammate can take over the same conversation from the shared inbox and reply live. Learn how to set the rules in [how to set up human handoff](https://insertchat.com/blog/set-up-human-handoff), or see the [locksmith setup](https://insertchat.com/industries/locksmith).

## What is the difference between a warm and cold transfer?

In a warm transfer, the first person speaks to the next one before connecting the caller, so context carries over. In a cold transfer, the call is passed straight through and the caller explains again.

## What should happen if nobody can take the transfer?

The caller should not end up in a loop or an unexplained voicemail. Collect their details and reason for calling, set a clear callback expectation, and alert the right person.
