# What Is a Chatbot Persona? Name, Tone & Voice

> A chatbot persona is the name, tone, and voice your AI assistant uses with customers. Learn what to define, what to avoid, and how persona settings work.

A chatbot persona is the consistent identity an AI assistant presents to customers: its name, tone of voice, level of formality, typical answer length, and, on the phone, its spoken voice and greeting. A clear persona makes an assistant sound like the business it represents and keeps every channel consistent, without pretending to be a person.

## How a chatbot persona is defined

A persona is a short set of decisions, not a character backstory. Pick a name customers will see or hear, a tone that fits your brand (warm, professional, or formal), how long answers should be, and how the assistant introduces itself on each channel. Add words you like to use and words or claims to avoid.

The persona should be honest about being an assistant and never override safety or accuracy. A bubbly tone that promises things the business can’t deliver is worse than a plain one. Test the persona on real questions, including complaints, because tone matters most when a customer is unhappy.

## Example: a med spa’s assistant voice

A med spa names its assistant “Mia,” chooses a warm tone and brief answers, and adds “results vary” to its preferred phrases. It lists “guaranteed” and “painless” as words to avoid, and sets treatment complications as a topic that always needs a person. On calls, Mia greets callers by the spa’s name in a calm voice. This scenario is illustrative.

## Persona settings in InsertChat

InsertChat’s response settings cover the persona directly: a customer-facing name, how it introduces itself on each channel, tone (warm and conversational, professional and direct, or formal and reserved), answer length, preferred words, and words or claims to avoid. On calls, choose one of 10 voices and write a greeting of up to 200 characters.

Every saved change creates a version you can compare and restore. For the visual side, set the assistant’s name, logo, colors, and avatar, or brand each client separately with [white label](https://insertchat.com/product/white-label). ## Should a chatbot have a human name?

It can, as long as it doesn’t claim to be a person. A friendly name with an honest introduction, such as “I’m Mia, the spa’s assistant,” works well on chat and phone.

## Does the persona change what the AI knows?

No. Persona shapes how answers sound; the knowledge base and rules decide what the assistant says and does.
